Roll Scalign out from one user to your team
Started on your own and want the team on board? Invite people, share your CRM once, agree what's shared and give each role a place to start.
Most teams start with one person trying Scalign on their own meetings. The account playbooks get better with every colleague who records, because each meeting adds to the same companies, people and deals. Here's how to go from one user to the whole team in an afternoon.
Who to bring in first
Start with the people who run customer meetings every week. They fill Scalign with the meetings everyone else learns from.
- Reps and account executives record their meetings and work from the follow-ups and Suggested Moves.
- Customer success takes over accounts with the full history of what was promised in the sale.
- Sales leaders, RevOps and marketing read across everyone's meetings. They don't need to record anything themselves to get value.
1. Invite your team
- In Scalign, go to Settings → Members.
- Add each teammate's work email and send the invite.
- Give the admin role to whoever runs your tools or your ICP, so they can manage integrations and members without being the workspace owner.
Teammates who sign up on their own with a company email are offered to join your workspace, so nobody ends up in a separate one. More in Invite workspace members.
2. Share your CRM once
An admin who has connected the CRM turns on Share with the workspace on the CRM card under Settings → Connections. Everyone's meetings then get CRM context from day one. Each person who wants notes written for their own meetings clicks Connect your own, since notes are always written with their own CRM user. See Connect HubSpot for an example.
3. Get everyone recording
Each person who meets customers sets up their own recording: the meeting assistant from their calendar, the desktop recorder, or both. It takes a few minutes. Send them Record your first meeting.
Rolling the desktop recorder out to many computers? Your IT team can push it with your device management tool: Roll out the desktop recorder: IT and MDM guide. On Outlook and Teams, your IT admin may need to approve Scalign once for the whole company: Connect Microsoft: Teams and Outlook.
4. Agree what's shared
By default, everyone in the workspace can open the meetings each person records. That's what lets a leader or a CS colleague read an account without asking. Before people start recording, agree on a few things:
- Which meetings get recorded. Each person chooses whether the assistant joins external meetings, internal ones or both under Settings → Assistant.
- What stays private. Anyone can turn off Share new recordings with the workspace under Settings → Recording → Sharing defaults, or make one recording private.
- How you tell customers you're recording. Agree on one line the whole team uses at the start of a call.
The details are in Who sees your recordings.
5. Give each role a place to start
Send each person the guide for their job, so their first week in Scalign looks like their actual work:
- Get the most out of Scalign: Sales
- Get the most out of Scalign: Revenue Leaders
- Get the most out of Scalign: Customer Success
- Get the most out of Scalign: Marketing

Common questions
Can someone use Scalign without recording meetings?
Yes. Anyone in the workspace can open the recordings shared with them, read the account playbooks and ask the assistant. They can also finalize a desktop recording, so the person who recorded doesn't have to.
Will new members see my older recordings?
If they were shared with the workspace, yes. Recordings you made private stay private, from admins too.
