How the assistant joins your meetings

Scalign's meeting assistant joins your video calls from your calendar and records them, so you don't have to start anything. You choose which meetings it joins, and you can keep it out of any single meeting.

What it needs

• Your calendar connected: Google Calendar or Microsoft Outlook, under Settings → Recording. See Connect Google Calendar or Connect Microsoft.
• A meeting link in the calendar event. The assistant only joins meetings on the connected calendar that have one.

Choose which meetings it joins automatically

1. In Scalign, go to Settings → Recording.
2. Under Meeting assistant, switch on Join external meetings, Join internal meetings, or both.

• External meetings have at least one attendee from outside your company's email domains: customer and prospect calls. Your workspace admin sets the domains in the workspace settings.
• Internal meetings are meetings where everyone is from your company.

Both are off until you turn them on. During onboarding, Scalign suggests joining external meetings only. These settings are yours: each person chooses for their own calendar.

Change it for one meeting

1. Open the meeting from your calendar in Scalign.
2. Switch Assistant will join off. It changes to Assistant will not join.

This overrides your settings for that meeting only, in either direction: you can also switch it on for a meeting it wouldn't normally join. The switch doesn't show for meetings without a meeting link or that have already ended.

Send it in now

If a meeting has started and the assistant isn't in it, open the meeting in Scalign and click Join Meeting.

If it's already in the meeting

Open the meeting in Scalign and click Leave Meeting, then Remove. Recording stops for the rest of the meeting. The meeting host can also remove it from the participant list, like any other participant.

What attendees see

• The assistant joins about two minutes before the start time as a participant named after your workspace (for example "Acme Assistant"). Workspace admins can change its name and avatar under Settings → Assistant.
• It records audio only.
• If nobody admits it from the waiting room, or nobody joins, it leaves after 10 minutes.

The meeting assistant is run by Recall.ai, which also reads your connected calendar to find the meetings to join.

The assistant and the desktop recorder

They work side by side. If both record the same meeting, Scalign combines them into one meeting and keeps the better transcript. For a meeting you'd rather record from your own computer, without a participant joining, switch the assistant off for it and use the desktop recorder.
