The CRM note didn't appear

Why a meeting got no note in HubSpot, Salesforce, Pipedrive or Attio: whose connection writes it, the meeting type, who was in the meeting, the company missing from the CRM, or an expired connection.

After a customer meeting has been analysed, Scalign adds a note to the matching company in your CRM: a HubSpot company, a Salesforce account, a Pipedrive organization or an Attio company. The note summarises the meeting and links to the meeting and to the analysis in Scalign. When no note shows up, the cause is one of the following. Go through them in order.

The note is written with the recording owner's connection

Scalign writes the note through the CRM connection of the person who owns the recording: the person whose calendar the assistant joined from, or whoever recorded the meeting first. A CRM that a colleague connected and shared with the workspace gives everyone company and deal context, but Scalign never writes notes to it on someone else's behalf.

So if you want notes for your meetings, connect your own CRM user under Settings → Connections, even when an admin has already shared theirs. See Connect HubSpot, Salesforce, Pipedrive or Attio.

The meeting wasn't analysed as a sales meeting

Notes are only written for meetings Scalign classified as a discovery call, a follow-up or a customer call. Internal meetings, vendor calls and anything else get a summary but no CRM note. Check the type at the top of Meeting details: if it is wrong, pick the right one and click Save. The meeting is analysed again and the note is written when that finishes. See No summary, or the wrong language.

Nobody from the customer was in the meeting

The note goes to the company of the external people in the meeting, found from their email addresses. Scalign needs at least one attendee with a company address: a personal address such as gmail.com can't be matched to a company, and addresses on your own company's domains count as colleagues.

  • For a meeting the assistant joined, the attendees come from the calendar invite. If the customer joined from a link that was forwarded to them, they may not be on it.
  • For a desktop recording, the people are the ones you confirmed under In the room when you finalized. Add the customer with their email address if they're missing; see Wrong or missing speaker names.
  • Your company's email domains are set under Settings → General → Your company. If a customer's domain is listed there by mistake, everyone from that company counts as a colleague.

The company isn't in your CRM

Scalign looks for CRM contacts with the attendees' email addresses first, then for a company record with the attendees' email domain. It never creates companies or contacts. If neither exists, the meeting gets no note.

Create the company, with its website domain, or the contact in your CRM. The note is then written the next time the meeting is analysed, for example after you change the meeting type or a name in Meeting details and click Save.

When several CRM records share one domain, such as a parent company and a subsidiary in HubSpot, Scalign writes one note, on the record that holds the attendees as contacts.

Your CRM connection expired

When your CRM stops accepting the connection, usually after a password change or an admin change on the CRM side, the Connections card says Needs reconnect and a reconnect chip shows at the top of Scalign. Notes are skipped until you reconnect; they aren't written afterwards for the meetings in between.

Attio connections made before note writing existed don't have permission to add notes. Click Disconnect on the Attio card and connect again.

What the note contains

  • One note per meeting per company, in the language set for the workspace under Settings → General, not in your own language.
  • It is written once. Later changes to the summary in Scalign, or a name you correct, don't update the note in the CRM.
  • It never changes deals, stages or contact fields; that stays in your hands.
